Responsibilities

As a Support Staff Admin/HR (Administrative Assistant II), your key responsibilities will include:

  • Administrative Support: Provide comprehensive clerical and administrative support to the relevant group or team, ensuring efficient workflow.
  • Communication Management: Prepare, distribute, and monitor incoming and outgoing correspondence, maintaining clear communication channels.
  • Documentation & Filing: Program and file documentation systematically, setting up and maintaining organized group filing systems.
  • Office Supplies Management: Monitor and procure stationery and other office supplies, ensuring availability for team needs.
  • Expense and Purchase Processing: Assist in preparing expense reports and processing purchase orders and invoices accurately and timely.
  • Meeting Coordination: Arrange meetings by organizing equipment requirements, catering, and maintaining meeting room cleanliness.
  • Travel Arrangements: Coordinate travel and accommodation logistics for team members as needed.
  • Reception Duties: Provide reception coverage during absences, ensuring a welcoming environment for clients and visitors.
  • Customer Service: Deliver exceptional customer service by providing accurate and timely information to clients, adhering to company policies.

Qualifications

To excel in this role, candidates should possess:

  • Experience: Proven administrative experience in a similar role, ideally within the oil and gas or related industries.
  • Technical Skills: High proficiency in the MS Office Suite (Word, Excel, PowerPoint, Outlook) and strong organizational skills.
  • Competencies:
    • Excellent verbal and written communication skills, with the ability to convey information effectively.
    • Strong attention to detail and the ability to manage multiple tasks simultaneously.
