Documentation Coordinator

Alghanim Industries is seeking a highly organized and detail-oriented Documentation Coordinator to support our operations team. This role will involve coordinating and managing import shipments for various customers, including sea and air freight, and ensuring smooth communication between all stakeholders involved in the logistics process. The Documentation Coordinator will report directly to the Operations Supervisor and play a key role in providing seamless service to customers.

Responsibilities

Shipment Management & Coordination

  • Take day-to-day instructions from the Operations Supervisor regarding shipments and logistics operations.
  • Provide timely shipment status updates to customers, ensuring they are informed at every step of the process.
  • Coordinate with vendors, overseas agents, shipping lines, airlines, and customs clearance teams to ensure customer requirements are met efficiently.
  • Highlight any operational issues to stakeholders and ensure prompt resolution to avoid delays.

Internal Coordination & Documentation

  • Work closely with internal departments such as Finance and Accounts to ensure the smooth execution of shipments and accurate cost posting.
  • Ensure that ERP systems are consistently updated with all relevant information and shipment data.
  • Audit cost invoices from different ministries and clearance teams before submission to accounts, ensuring financial accuracy and compliance.

Reporting & Issue Management

  • Maintain ongoing reports for the line manager, providing regular updates on job progress.
  • Highlight any issues related to operations or shipment processes to the manager for timely resolution.

Candidate Requirements

  • Education: Minimum of a High School Certificate.
  • Experience: At least 2 years of experience in a similar role within the freight forwarding or logistics industry.
  • Technical Skills:
    • Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
    • Experience with ERP systems for managing logistics and shipment data.
    • Well-versed in freight forwarding operations across air, sea, and land routes to GSS and Levant regions.
  • Skills:
    • Strong organizational skills with attention to detail.
    • Ability to manage multiple priorities and work effectively under pressure.
    • Excellent communication and interpersonal skills for engaging with all levels and departments.
  • Additional Skills: A valid Kuwait Driving License will be considered an advantage.
