Abu Dhabi University is seeking a skilled Admission and Registration Counsellor to support our efforts in student recruitment and registration. This position will focus on developing and implementing strategies to meet enrollment goals, building relationships with key stakeholders, and ensuring a smooth transition for students from application to registration. This is a remote role but requires active participation in recruitment events across the UAE, with a specific focus on post-graduate programs. The successful candidate will be based on-site at our Dubai campus.

Key Responsibilities

Student Recruitment:

  • Participate in recruitment events across the UAE, including education fairs, open days, and exhibitions.
  • Support the student recruitment team in executing strategies to improve the quality and quantity of student applications.
  • Build and maintain strong relationships with institutions, partners, government offices, employers, and recruitment representatives locally and internationally.
  • Engage with prospective students through presentations and individual meetings to achieve registration targets.
  • Handle student inquiries via in-person, email, and phone communications.
  • Proactively follow up with admitted students who have not yet registered to address concerns and assist in the registration process.
  • Distribute recruitment and marketing materials, such as brochures, catalogs, and prospectuses.
  • Accurately document inquiries using CRM systems to track and manage prospects.

Admission:

  • Provide comprehensive information about academic requirements, curricula, and admission policies to prospective students.
  • Screen applications and provide recommendations based on admission criteria for evaluation by colleges.
  • Update ERP records with decisions from academic departments and notify students about their admission status.
  • Issue formal admission letters and provide personalized support to ensure a smooth application-to-enrollment transition.
  • Resolve escalated student concerns, involving the Senior Manager of Admissions when necessary.
  • Follow up with newly admitted students regarding exam schedules, registration deadlines, payments, and orientation.
  • Coordinate credit transfer requests, ensuring collaboration with department heads and relevant authorities for transfer students.
  • Regularly monitor admission databases for accuracy and completeness, revoking outdated applications as needed.
  • Manage the general admissions email, respond to queries, and issue official documents such as admission letters and credentials.
  • Assist new registrants with course selection, withdrawals, or course drops, providing guidance as needed.

Registration:

  • Serve as a representative of the Registrar’s Office during student orientations and university events.
  • Respond to student inquiries related to course registration, graduation, scheduling, and more via face-to-face interactions, email, and phone.
  • Process changes in majors and handle the reactivation of registrations for re-enrolling students.
  • Maintain accurate student records, including withdrawals and grade appeals, following institutional guidelines.
  • Ensure all student and course-related documents are properly scanned, uploaded, and filed.
  • Prepare and issue official documents such as enrollment verification letters and transcripts.
  • Oversee the student registration process, ensuring compliance with university policies and procedures.
  • Support the Registrar in activities aimed at improving student retention and success.

Qualifications

  • Education:
    • Bachelor’s Degree in Business Administration, Commerce, or a related field from an accredited institution.
  • Experience:
    • 2-5 years of experience in admission and registration, preferably within a higher education setting in the UAE.
    • Experience in using CRM systems and handling the admission process in educational institutions.
  • Skills:
    • Knowledge of UAE university admission regulations and a strong understanding of the local cultural context.
    • Proficiency in Microsoft Office and CRM systems.
    • Strong organizational skills with the ability to manage multiple tasks efficiently.
    • Excellent communication and customer service skills, with the ability to work under pressure and adapt to changing priorities.
    • Team-oriented with a positive attitude.
  • Languages:
    • Fluency in English is required; Arabic is preferred.
