Position Overview

We are looking for a Secretary cum Procurement Coordinator to play a key role in our procurement department. This dual-function role requires a proactive and detail-oriented individual who will handle procurement operations and provide administrative support to ensure smooth operations. You will be responsible for coordinating vendor relations, managing procurement documentation, and assisting with inventory management, all while contributing to the overall efficiency of the department.


Key Responsibilities

  • Manage the entire procurement process, including vendor communication, order placement, and follow-up.
  • Maintain accurate records of purchases, supplier contracts, and relevant documentation.
  • Coordinate with suppliers, logistics partners, and internal teams to ensure timely deliveries and resolve any discrepancies.
  • Prepare, update, and manage procurement reports and documentation.
  • Assist in inventory monitoring and stock level management to support procurement decisions.
  • Schedule and organize meetings related to procurement activities, ensuring proper coordination of calendars.
  • Provide general administrative support, including filing, data entry, and drafting correspondence.
  • Assist in other tasks and projects as needed to support the procurement team.

Qualifications

  • Education: Bachelor’s degree in Business Administration, Commerce, Supply Chain Management, or a related field.
  • Experience: Previous experience in administrative support and procurement coordination, ideally in the FMCG sector, is preferred.
  • Strong organizational and multitasking abilities.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and procurement software.
  • Communication Skills: Excellent written and verbal communication in English; interpersonal skills are essential for vendor and team interaction.
  • Ability to work independently as well as collaboratively in a fast-paced team environment.
  • Attention to detail and problem-solving skills.
